Job Summary
We are seeking a motivated and detail-oriented intern to support our Corporate Procurement team. This internship provides hands-on exposure to procurement processes, tender management, data reporting, and administrative support activities. The intern will gain practical experience in procurement operations, data consolidation, reporting, and stakeholder coordination while contributing to the team's daily activities and special projects.
Key Responsibilities
Procurement Process Support
- Assist in daily procurement operational activities and administrative tasks.
- Support tender opening preparations, including document verification and record organization.
- Maintain procurement trackers, logs, and filing systems.
- Ensure procurement documentation is properly organized and archived.
Tender Opening Coordination
- Prepare tender opening templates and supporting documentation.
- Consolidate vendor submission information and maintain tender opening records.
- Update tender opening logs and status trackers.
- Support post-tender opening documentation and filing activities.
Reporting and Data Management
- Assist in collecting, consolidating, and maintaining procurement-related data.
- Support the preparation and updating of procurement reports and summary dashboards.
- Perform basic data cleaning, validation, and formatting activities.
- Prepare summary tables, charts, and other reporting materials as required.
Presentation and Communication Support
- Assist in preparing procurement presentations and management reporting materials.
- Update PowerPoint slides and support the development of presentation content.
- Consolidate information from various stakeholders for reporting purposes.
- Support internal communication materials and documentation.
Document Control Management Support
- Assist in filing and organizing procurement documents, including tender documents, approval records, and supporting documents, based on the established document management structure.
- Develop understanding of procurement documentation requirements and support the maintenance of complete and accurate procurement records.
- Perform document control activities by reviewing procurement files, identifying missing documents, incomplete records, or missing approvals, and following up with Procurement PICs for necessary updates.
- Support document control analysis by reviewing existing filing practices, identifying improvement opportunities, updating document trackers, and preparing recommendations to enhance procurement document management.
- Assist in strengthening document standardization by promoting consistent filing structures, document naming conventions, formatting practices, and document control procedures.
Ad-hoc Operational Support
- Assist with urgent reporting requirements and time-sensitive assignments.
- Maintain procurement databases, trackers, and reporting files.
- Provide administrative and operational support for procurement initiatives.
- Perform other procurement-related tasks assigned by the supervisor.
Preferred Qualifications
- Currently pursuing a Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, Logistics, Finance, Data Analytics, or a related field.
- Proficient in Microsoft Office applications, particularly Excel and PowerPoint.
- Strong attention to detail and organizational skills.
- Good analytical and problem-solving abilities.
- Effective communication and teamwork skills.
- Able to manage multiple tasks and meet deadlines in a fast-paced environment.
